Crafting a great sales email isn’t easy. In fact, you may need to try out many different angles, subject lines, questions, and CTAs before you hit on a winning formula.
While experimentation is necessary, it also has an opportunity cost. Every prospect who receives a sub-par email is a prospect who might have responded if you’d only used more effective messaging.
The solution? Use these tried-and-true email templates from HubSpot salespeople as your jumping-off points. Each email’s open rate is 50% or higher, so you’re guaranteed to see results.
Tailor these messages to your specific industry, market, and recipients — then watch your own open and response rates soar.
1) Discussing Potential Fit: 64% Open Rate
This template works well with inbound leads. They’ve already raised their hand to speak to Sales, so make the process as easy as possible for them.
You should always provide value. Attaching a relevant piece of content gives your prospect a reason to return to your message multiple times to find that resource; plus, you’ll position yourself as a trusted advisor from the get-go.
2) Closing the Thread: 63% Open Rate
Going negative frequently spurs buyers into action. Up until this point, they might have been too busy or relatively unmotivated to work with you. However, suggesting you’ll leave them alone creates urgency — which, in turn, prompts them to reply.
3) Act Now: 59% Open Rate
Everyone loves a deal. With this email, you can re-engage prospects who have gone dark. Although discounting should never be the primary reason you close new business, it tells your recipient they have a limited window of opportunity to get your solution at the best price. They’ll usually be grateful for the heads up.
4) Resurfacing the Conversation: 57% Open Rate
Use this message to follow up with an unresponsive buyer without guilt-tripping them. It will gently remind them of their initial reason for researching your product. Since you’re not trying to shame them into replying (which usually backfires), they’ll probably decide to schedule a call — or at least request more information.
5) You Could Be Seeing These Results: 51% Open Rate
Have you ever seen an apartment billboard that reads, “If you lived here, you’d be home by now”? These ads are effective because they inspire regret and jealousy, making the viewer wish they could go back in time and decide to live at that location.
This email has a similar effect. It reminds your prospect their inaction has cost them. If they’d invested in your product when they’d first considered it, they would already have experienced significant gains.
6) Let’s Talk About Your Goals: 64% Open Rate
This message is short, sweet, and impactful. The first sentence gives the reader context: She learns why you’re reaching out and that you understand her pain points and vertical. The following question is easy to respond to, so your prospect doesn’t need to think too hard before typing an answer.
7) Pick a Reason, Any Reason: 53% Open Rate
Jog the buyer’s memory of their initial interest, then give them a few options for exploring it further. This message is best-suited for products you can buy either touchlessly (without working with a sales rep) or with a salesperson’s help.
If your offering requires salesperson involvement, tweak this email so it instead reads:
- You wanted to schedule a demo of [product]. Here’s a link to my calendar: [link].
- You’d like to know more about [accomplishing X results]. Here’s a link to our customer case studies page: [link].
- You want to [solve related goal, capitalize on related opportunity]. This [article, ebook, webinar] will be useful: [link].
8) You’re Not the Only One: 54% Open Rate
Mentioning a competitor can be highly effective, as it tells your prospect they should invest in your offering to keep up. It also enhances your credibility — if similar companies are using your solution, you’re clearly legitimate.
Customize these email templates to your audience to make your open and response rates increase immediately. In other words, you can skip the experimentation phase and get straight to the results.
